The Real Cost of Hiring Event Equipment in Gauteng (2026 Guide)

What does it actually cost to hire event equipment in Johannesburg and Pretoria? A transparent breakdown of pricing, delivery fees and what drives costs up.

One of the most common questions we get is: "What does this actually cost?" It's a fair question — and one the events industry hasn't always been great at answering. Here's a transparent look at what drives event equipment hire pricing in Gauteng.

How pricing works

Most event equipment suppliers (including us) price on a per-item, per-day basis. The total cost of your event depends on four things:

1. What you hire

A single Claw Machine for a brand activation costs a lot less than a full festival build with staging, lighting, bars, food trucks and safety officers. Start with what you need, not what looks impressive in a catalogue.

2. How long you need it

Standard hire is a single day (setup in the morning, collection that evening). Multi-day events or installations that need to stay up overnight will cost more — but the incremental cost is usually far less than the first day.

3. Where you are

Delivery, setup and collection costs vary by zone. Events in central Johannesburg, Sandton and Midrand fall within our standard delivery zones. Pretoria, the East Rand and West Rand may carry a small additional delivery fee. Everything stays within Gauteng.

4. What extras you add

Add-ons like branded wrapping, custom prizes, extended operating hours, additional operators and power distribution all add to the total. These are optional — and we always quote them separately so you can see what's core and what's extra.

- Staff meals and parking for suppliers
