How to Pitch a Corporate Team Building Day to Your Boss (With Budget Template)
Want a team building day but need buy-in from management? Here's a practical guide to pitching it — with ROI talking points and a budget framework.
You know your team needs a day out of the office. Morale is dipping, silos are forming and people are burning out. A well-planned team building day could fix all three — but first, you need to get it approved.
Here's how to pitch it so your boss says yes.
Lead with the business case, not the fun
Managers don't approve budget for fun. They approve budget for outcomes. Frame your pitch around retention, productivity and communication.
The stats are on your side: research consistently shows that companies investing in team building see improvements in employee engagement and retention. In a competitive Johannesburg talent market, that matters.
Know your numbers
Before you walk into the meeting, have a rough budget. Here's a framework for a Gauteng-based team building day:
Core costs
- Interactive entertainment (2–4 experiences): R 15 000 – R 40 000
- Food and beverages (food truck or braai): R 150 – R 350 per head
- Sound and MC: R 8 000 – R 15 000
- Venue hire (if not on-site): R 5 000 – R 25 000
Optional extras
- Photo Wall or Bubble Wall: R 5 000 – R 10 000
- Slush Bar or Tap Truck: R 6 000 – R 12 000
- Safety officer and risk assessment: R 3 500 – R 8 000
Rule of thumb
For a team of 80–120 people, budget between R 500 and R 800 per head for a solid half-day experience with food. Use our Event Builder to get a more precise estimate based on your specific setup.
Propose, don't demand
Give your boss options. Present three tiers:
Tier 1: Essential (R 25 000 – R 40 000)
2 interactive experiences, basic sound, a food truck. Enough to get people out of the office and engaged.
Tier 2: Recommended (R 50 000 – R 80 000)
A full Game Floor bundle with 3–4 experiences, professional MC, food trucks, a Photo Wall. This is where the magic happens.
Tier 3: Premium (R 100 000+)
The Full 360° — everything from staging and lighting to structures, food, bar, entertainment and safety. This is a proper event, not just a team outing.
Address the objections
Your boss will have questions. Prepare for these:
"Can't we just do a braai at the office?"
You can. But a braai with no structure or entertainment won't address the team dynamics you're trying to fix. Interactive experiences create shared challenges and break down hierarchies.
"What about productivity? We lose a whole day."
A half-day event (10am to 3pm) is plenty. Most teams are more productive the week after a well-run team building day than they were the week before.
"Is it safe?"
With a qualified safety officer and proper risk assessment, absolutely. We include Safety & Compliance as a standard option in every build.
Send a follow-up
After your verbal pitch, send a one-page summary with:
- Objective (why)
- Proposed date and duration
- Budget breakdown (use the tiers above)
- Supplier recommendation (link to our Event Builder)
- Expected outcomes
Keep it tight. One page. No waffle.
